OneClub OS Acceptable Use and Safe Communication Policy

This policy is part of the Terms of Service. It sets the rules for how every user behaves on OneClub OS and, because many players are minors, how adults communicate with them through the platform. Your club may have stricter rules; where it does, follow them.
AI and automated assistance
Use AI assistance only for its stated purpose. Do not place children’s personal information, health details or private messages in staff AI prompts. An assistant cannot grant access, consent or authority; review proposed changes and use only actions your role permits. Do not use the service or its content to train a model without separate authorization and a valid data-use basis.
1. Prohibited conduct
You may not:
- access, or attempt to access, data or features you are not authorized for, including other clubs’ tenants or other players’ records;
- probe, scan, scrape, crawl, reverse-engineer, or interfere with the platform, its security, rate limits, or permission boundaries;
- upload or send content that is unlawful, infringing, defamatory, harassing, threatening, sexually explicit, or that exploits or endangers a minor;
- upload photographs or video of a person without the right to do so, or use images of minors beyond your club’s legitimate sporting purpose;
- impersonate any person or misrepresent your role;
- share access codes, invitation links, or credentials beyond their intended recipient, or resell or sublicense access;
- introduce malware or automated tools that degrade the platform;
- use the platform to collect personal information for any purpose other than your club’s operations, or to contact players or families for commercial solicitation;
- send text messages or emails through the platform to anyone who has not consented to receive them.
2. Safe communication with minor athletes
These rules apply to every adult user (staff, coaches, trainers, scouts, and administrators) when communicating with, or about, a player under 18 through the platform.
- Communication must be observable and interruptible. Direct messages between an adult and a minor are subject to review by the club’s designated administrators through the platform’s message audit. Do not use the platform to move a conversation with a minor to a channel the club cannot see.
- Keep it professional and about sport. Messages must relate to training, matches, scheduling, development, or welfare, and must be appropriate for a parent to read.
- Do not send or request personal images. Video and photographs of minors are shared only through the platform’s club-controlled tools and only for coaching purposes.
- Respect quiet hours and your club’s policy on when adults may message minors.
- Report concerns. If you see a message or behavior that suggests a minor is at risk, report it to your club’s designated safeguarding contact and, where the law requires, to the authorities and the U.S. Center for SafeSport.
Clubs are responsible for enabling message audit for staff-to-minor communication and for designating who may review it. We may suspend an adult account that breaches these rules and will cooperate with clubs and authorities in any investigation.
3. Group spaces and posts
Group chats, team channels, and posts are club spaces, not public forums. Post only what your role allows, keep health and injury information out of general channels, and do not name a minor’s medical condition in a message that is not restricted to medical roles.
4. Reporting abuse of the platform
Report suspected security issues, misuse, or a breach of this policy to support@oneclubos.com. Reports involving the safety of a minor should also go to your club’s safeguarding contact immediately.
5. Enforcement
Breaches of this policy may result in warnings, removal of content, suspension, or termination of access by your club or by OneClub OS, and may be reported to the club and, where required, to authorities. You agree to indemnify OneClub OS for claims arising from your breach, as set out in the Terms.
